Key Responsibilities (this list is non-exhaustive)
- Updating and processing data within a case management system
Accurately input and update key information related to patent renewals, including deadlines, client details, and case statuses, while ensuring all records comply with internal processes and legal requirements. - Issuing renewal reminders via email
Prepare and send timely renewal reminders to clients, ensuring they are aware of upcoming deadlines and providing clear instructions on the renewal process to avoid lapses in protection. - Monitoring reminders received from overseas agents
Track and review renewal reminders sent by international agents, ensuring these align with local and global deadlines and escalating discrepancies or concerns when necessary. - Updating case records
Maintain accurate and up-to-date records in the case management system, reflecting actions taken, client decisions, and correspondence for a clear audit trail. - Checking draft invoices
Review draft invoices for accuracy, ensuring all charges for renewals, filings, or agent fees are correctly calculated and documented before they are issued to clients. - General admin support
Provide administrative assistance to the wider team, including managing correspondence, organising files, preparing reports, and supporting ad hoc tasks to ensure the smooth operation of the renewals process.
