Key duties include
- Verifying data and (electronic) file maintenance
- Administrative and secretarial working tasks such as completing forms, collation of documents, drafting invoices, sending reports to clients, preparing and sending status checks and follow-ups by email and/or telephone
- Correspondence with clients, overseas attorney firms, external service providers and property management, mainly in English language
- Managing incoming and outgoing emails
- Processing of case-related and non-case-related mail
- Uploading and downloading correspondences/communications on patent, trade mark and design management systems and on client portals
- Assistance with term management
- Preparing draft applications (patents, trade marks, designs) and other requests, especially to the EUIPO, DPMA & WIPO
- Assisting with office management (managing office supplies and equipment, handling travel expenses claims, ordering drinks and office supplies, preparation of meetings, taking minutes at team meetings)
Candidates should have
- Clear communication skills with a good command of English and German (including spelling and grammar), and be able to work effectively as part of a team
- Excellent organisation and prioritisation skills
- Hands-on mentality
- Careful attitude with a keen eye for detail
- Flexible towards changes and ability to adapt to ensure smooth and efficient service to the team
- Experience in the field of assistance, e.g. as a secretary, receptionist, foreign language correspondent or paralegal (“Rechtsanwaltsfachangestellte”, “Patentanwaltsfachangestellte”), ideally in the legal area (in the Intellectual Property field would be advantageous, though not essential)
- Experience of MS Office
